Detailed Sub Account Charging and Reporting

 

In some cases, schools may wish to create sub accounts to get more detail of the copy and print usage. For example, the Biology Department may wish allocate a budget to each Form year and report accordingly.

 

This example illustrates how to configure Sub Accounts and gives some examples of the level of reporting that can be obtained.

 

Sub Accounts.

 

In PaperCut, Departments are generally referred to as Shared Accounts. Each Shared Account can be either a Parent or a Sub Account.

 

In the illustration below, you will see that Each Department has a Sub Account Associated with it. So for example, to charge Biology Year 1 you would enter 4-11.

 

Note also that each Sub Account can have a balance associated with it. This can be either on a Sub Account basis as illustrated below or on a Parent Account basis.

 

This Balance can be restricted so when it runs out allocation to that account or sub account will be denied. This gives Department Heads a much greater level of control over their Copy and Print Budget.

This example summarises Copy usage for each Parent and Sub Account

 

Print Logs by Account Detail

This example lists the detail of the Copy jobs, showing job attributes such as colour, duplex etc and any comments. It also lists the username to show who completed the job.
